Import historical Compliance Data

Mass import compliance information from previous system or spreadsheet tracker

In order to import Compliance items, a compliance item must be configured and made live within the compliance library. If this has not been done, please use the guide below and then navigate back to this guide.

Please note that you are only able to import Compliance Field data. This import tool will not work for Criminal History or Work Rights data.

 

Navigate to Compliance -> Import and select the relevant Compliance Field from the dropdown list.

 

Once you select a Compliance Field, you can download an example import file using the "Download Example" button.

 

Using the downloaded Excel file as a starting point, you can begin filling in the compliance data. Please note that both email addresses are not mandatory, but the system will need either the personal or work email address in order to link the compliance item to one of your employees. 

Once the data has been filled in, select the "Choose File" button from the image above, select your recently filled spreadsheet and press open.

 

On the next screen, you are presented with a window notifying you of how many individual compliance items were found. You can use this to verify that all items in your spreadsheet were captured before starting the import.

On this screen you can also optionally select "Send all reminders". This will, using the provided expiry dates alongside the expiry rules set against the compliance item, send out any emails that meet the criteria (e.g. if a check is expiring in 2 months' time and you have an email set to send 3 months from expiry, the system will send the 3 month expiry email).

 

Select "Start Import" to add your import file to the system queue. You will receive a confirmation email once the import has been completed.
