How to manage the candidates that apply for a job
You can find your application from the previous task Apply for a job in the candidates tab.
There are 6 tabs for each category. From the left, Total is the total amount candidates that have applied. Unprocessed are the candidates that have just applied. Progressing are the candidates that have progressed to any stage from shortlist onwards. Stopped are those that are unsuccessful. Onboarding is those that have been sent a pack to complete. Placement is for those that have completed a pack and are an employee.
We will be able to see our application from the Apply for a job task, in both the total tab and the unprocessed tab.
You may see a number next to an applicant’s name. This will show you how many times they have applied to this job. Here, you can see the number 3 next to Lucys name, meaning she has applied to this job 3 times.
This could mean she has applied to this job 3 times via different job boards such as seek, indeed, LinkedIn, etc. or she has applied under different aliases. You can quickly have a look by looking at the application source.
Other things to note on the profile snapshot column is the current occupation and company held by the applicant. In the example below Sam works for “Testing Corp” as a “Tester”.
Sam is also 7km away from the job location.
His address is Eastlakes, NSW.
His highest academic qualification is Bachelor.
Talent Communities
The next thing to notice on Sam’s application is that the talent community column is empty. It’s good to assign candidates to talent communities so you can search for them effectively when recruiting for future roles.
We can assign Sam to a talent community by clicking on his name and opening his full profile.
If you do not have any talent communities you will need to create one.
Then enter the name of the talent community and click save.
We can now see Sam assigned to the “QA Tester” talent community.
Candidates can be part of one or many talent communities so I will also assign Sam to the IT talent community I created earlier.
Sam is now part of two talent communities.
Rating Candidates
We can rate Sam’s application for the HR Officer job by clicking on the star rating, we will assign him 3 stars.
Then on the applications grid we can our rating and Sam’s average rating. Any number of users can rate the same candidate.
We should also see the talent communities we assigned earlier.
You can add your own custom fields from the applications form you have created to this view if required. Click on the columns button to select your fields.
Start typing to search for the field you need and then select it from the list.
Before you click apply you can check the box to apply your fields to other users viewing this job if you like.
After clicking update to we can see Sam has answered Yes to the “Do you have a Working With Children Check or be willing to obtain one?” question.
Sometimes the applicants grid can get cluttered with a lot of columns. You can click on the down arrow next to each column to select what to show in the grid.
