How to Create & Initiate Performance Reviews
Phase 1: Create and Design the Template
Step 1.
In the Performance module, navigate to the Templates section.
Step 2.
Click Create Template.
Step 3.
Enter the template name, then click Create Review Template to open the Design tab.
Step 4.
Build the review content using one of the following methods:
- Method A (AI-Generated): Click the AI generation option, type a prompt (e.g., create a performance review for a teacher), and click Generate Suggestions. Review the generated topics, then drag and drop your preferred topic (e.g., Instructional Effectiveness) into the template workspace.
- Method B (Manual): Drag the standard topic icon into the workspace, name the topic (e.g., Employee Wellbeing), and drag your desired question types (e.g., Label, Single Choice, Comment Box, or Rateable Scale) into the topic area. Define the answer choices, rating scales, or comment settings, then click Save.
- Method C (From Library): Open the Library tab, locate previously used questions or topics (e.g., Attendance and Punctuality), and drag and drop them into the workspace.
Phase 2: Configure Template Settings and Workflow
Step 5. (Optional)
Adjust topic weights by clicking the weight field on a topic and changing it to your preferred percentage (e.g., 50%), or toggle the custom weight option off entirely.
Step 6.(Optional)
Click Access Control on a topic to hide specific questions or sections from either the employee or the manager to ensure privacy.
Step 7.
Review the step-by-step workflow. To add goal-setting responsibilities, click Goal Setting and assign the designated goal setter (e.g., selecting the Manager for a performance improvement plan).
Step 8.
Click Make Template Live.
Phase 3: Launch and Assign the Review
Step 9.
Navigate to the Review section and click Create Review.
Step 10.
Select Create from Template and choose the newly created Annual Performance Review template (or select Create from Scratch to design a completely new form).
Step 11.
(Optional) Add any specific, ad-hoc questions to this individual review without changing the master template.
Step 12.
Navigate to the Workflow section to assign stakeholders:
- Select the Manager field and choose the manager's name.
- Select the Employee field and choose the employee's name.
- (Optional) To bulk-assign, select a manager, check the Only show people under manager box, and select their team members.
Step 13. (Optional)
Navigate to the Phases section to break the review into timelines (e.g., quarterly phases). Click Add a Phase, define the date ranges (e.g., January to March), and set ideal completion dates for each phase.
Step 14.
Click Send to launch the review and trigger the automated workflow notification emails.
