This article will explain how to finalise contracts/mail merge documents in your packs.
Once you have submitted an applicant to onboarding the next step is to finalise the contract. In the screenshot below we have the onboarding pack and you can see the permanent employment contract needs finalising. All other documents are ready to be sent. Click the speed editor button where the arrow is pointing.
Once you have clicked speed editor on the left hand side you will see a list of fields that are used in the contract.
On the right hand side you will see the PDF file Martian Logic has generated based off your template and the fields that it contains.
We can change the fields on the left, for example we will update Sam’s address.
When you have updated the fields you just need to click on the refresh button on the PDF.
Some fields on the left may need to answered before sending out your contract. Content blocks are typically used to store information you may want to use in different clauses in your contracts and normally need to be set when finalising your contract.
In this tutorials case we need to set the Salary or Hourly Rate content block field. We have two presets to select from Salary and Hourly Rate.
If we select salary we will see the text Martian Logic will insert into your contract.
The PDF on the right hand side will update with our selections.
If we select hourly rate instead we will see Martian Logic insert the hourly rate and the appropriate wording.
Ad Hoc Content Block Changes
You can also directly edit content blocks. For instance we will type in some information about specials conditions for Sam.
Then once again all we need to do is update our PDF.
What we have above is an example of making an ad hoc change to the contract for Sam. If however we always want the option to offer specials conditions when paying hourly rates for example we could save this new content as a preset. Click Save As.
We just need to give our new preset a name and click save. In this example we have called it Hourly Rate with Special Conditions.
Now we will be able to use our new Hourly Rate with Special Conditions option
You can also update the word document template directly if you click on Doc Template.
You can then download the word document template update it and save it. Then upload it back to Martian Logic.
Be aware this is permantenly updating the master template in the content manager, this is not an ad hoc change!!!
Conclusion
We should have all our fields finalised and are able to click the send for approval/I’m done button.
