How to change the position conditions such as employment type, remuneration, location, etc.
In the last UAT task Change Reporting Line we got to the change of conditions form. On the left hand side of the form we see the current position conditions for Sam and on the right hand side we can propose new position conditions.
In this example we will change Sam position to be a HR manager instead of a HR officer and change his employment type from permanent full time to fixed term part time.
The first thing we will do is enter the new position title “HR Manager”. The department can remain the same as he still works in HR.
Then we come to the engagement field we can either click yes to copy over the current engagement data and modify it from their if required. Or we can click no and start from scratch. In this example we click yes and change the conditions as needed.
The first thing we will update in the engagement field is the employment type. We will change Sam to fixed term part time.
Now that part time has been selected, in the FTE Remuneration Details section we will also need to provide the FTE/Part Time hours for Sam our employee. Click the edit button.
We will give Sam an FTE of 0.6 and we will also increate his level to level 3 to reflect his new position.
Currently Sam is paid above award, we will uncheck the override so that he is paid at award for a level 3 employee. Click save when you’re happy.
We will now see Sam’s new proposed position conditions.
We now just need to set the effective date for the new position conditions to come into effect. Since Sam is also going on to a Fixed Term Part Time contract we will also need to provide an end date. Click the edit button on the Start / End / Effective Date field to provide the dates.
Set your dates and click save.
Just like with the offer approval you can optionally leave a justification report that the approvers in the approval workflow will be able see.
When you’re happy submit the form for approval or without approval depending on your configuration.
When your change of conditions process has been approved.
You can then manually complete the process of start the pack process.
Start Pack Process
This will prompt you to create a pack for the employee to send them correspondence about the changes to their position.
Manually Complete Process
This will not generate a pack and the changes will simply come into effect in Martian Logic upon the effective date provided in the Change Of Conditions form.
In this example we will click start pack process. You can then select from your contract variation type packs.
